Data and Privacy

Your Data

Terio stores your company's HR data in Supabase, hosted in the EU. Data is encrypted at rest and in transit, with role-based access enforced at the database itself, an employee only ever sees what concerns them, and a manager only their own reporting line.

Each company's data is completely isolated. No other Terio customer can access your data.

Keep It Professional

Anything written in Terio, your questions, your reasons, the notes you record, is a record your company holds about the people it concerns. If one of them makes a subject access request, it can be disclosed to them. Terio reminds you of this under the chat box. Stick to facts and keep the tone professional, as you would in any HR file.

How Long Conversations Are Kept

Conversations with Terio are kept for 2 years from the last message. If you delete one it disappears from your list, but it is not removed, because conversations about absence, grievances and similar matters may be needed as a record.

Data Deletion

If you cancel your Terio subscription, all your employee data is deleted within 30 days. You will receive written confirmation when deletion is complete.

Within an active subscription, an employee’s records (profile, contract, leave history, documents) are kept for 6 years after they leave, and absence, disciplinary, investigation, and grievance records are kept for the whole of their employment and the same 6 years after, in line with UK employment record-keeping practice. Nothing is deleted when someone leaves; the date it may be removed is recorded.

To request deletion of a specific employee's data (for example on a subject access request), contact support@terio.ai.

Cookies and Local Storage

Terio uses essential cookies required for the product to function, and, only if you tick "Remember me" when signing in, stores your email address in your browser’s local storage so it’s filled in for you next time. That stays on your own device and is never sent to us. You can decline non-essential cookies using the cookie banner when you first visit the site.

See our full Privacy Policy at terio.ai/privacy for complete detail on what we collect and why.
